Data Register

is a central, publicly accessible online source of information in accordance with the requirements of Regulation (EU) 2023/2854 (Data Act). It enables customers to access all essential information regarding data export, portability, infrastructure location, and fees.

1. Exportable data, formats, and transfer methods

In accordance with Regulation (EU) 2023/2854 (Data Act), Ecomail enables the export of the following categories of data:

2. Instructions for switching to another provider

The customer may initiate the process of changing the provider at any time, without the need to state a reason.

Step 1: Submission of request and preparation

The customer can export most data independently, directly within the Ecomail application or via the documented API. For a request for a full data export beyond the standard interface, contact technical support at support@ecomail.cz.

Step 2: Data export and transfer

Data can be downloaded manually in the sections:

  • Contact lists and their segments,

  • Reports,

  • Campaigns,

  • Automations,

  • Templates;

or in bulk via the API.

Ecomail provides technical assistance with field mapping for the target system throughout the notice period.

Step 3: Completion and deletion

After the customer confirms the successful transfer of data and once the period specified under the Data Act has elapsed, Ecomail will irreversibly delete all data from production databases and backups, in accordance with the documentation on personal data processing and with regard to the need to maintain the integrity of the application’s entire data system.

3. Transparency of international data access

Ecomail ensures data sovereignty and security:

  • Primary servers are hosted within the AWS cloud infrastructure (EU‑Central region – Frankfurt).

  • Access by foreign authorities is strictly assessed in accordance with applicable EU and Czech legal regulations. A detailed description of technical security measures is provided in ANNEX B TO THE PROCESSING AGREEMENT titled TECHNICAL AND ORGANIZATIONAL MEASURES.

  • The handling of data by our Processors, including their list, is described in APPENDIX C TO THE PROCESSING AGREEMENT titled LIST OF PROCESSORS.

  • Our data is stored within the European Union and may also be present in the United States of America.

4. Fees for contract termination

In accordance with the Data Act, the following rules apply:

  • Self‑service data export is FREE OF CHARGE.

  • Technical support assistance may be charged up to actual costs if the scope exceeds standard support. The price for such assistance will be determined as the product of the actual time spent and the agreed hourly rate. The calculation follows the formula:

Total price = Number of hours spent × Hourly rate

  • From January 12, 2027, all activities related to provider switching and data deletion will be provided free of charge.
